The Future Group Recruitment and Hiring Privacy Statement

If you use The Future Group’s online career resources, The Future Group will collect and process your personal data for recruiting-related purposes, as described in this Privacy Statement.

Introduction / who is collecting your personal data?

When you apply for a job at The Future Group, we will collect and use personal data about you during the recruiting and any hiring process.


What personal data will The Future Group collect?

The information you provide in the application is registered on behalf of The Future Group in The Future Group’s recruitment system, BambooHR Hiring, provided by Bamboo HR LLC. Therefore, your personal data may be stored by Bamboo HR LLC in the USA. All The Future Group´s processors are subject to data processor agreements in accordance with the GDPR, and Bamboo HR LLC is Privacy Shield certified for both HR and non-HR data.

The following categories of data will be collected by The Future Group:

  • Name

  • Date of birth

  • Gender

  • Contact details; e-mail, phone number, address etc.

  • Response to selection questions

  • Data you submit in résumés / CVs, letters, portfolios or other materials, and references

  • Data generated by interviewers and recruiters, based on their interactions with you

You are not required to provide any requested information to The Future Group, but failing to do so may result in not being able to continue your candidacy for the job for which you have applied.

By submitting your information, you acknowledge that all representations made by you are true and correct to the best of your knowledge and belief, and you have not knowingly omitted any related information of an adverse nature. Providing any inaccurate information may make you ineligible for employment.

Where will the Future group collect your personal data from?

Your personal data will for the most part be collected from you, but may also be collected from any references you inform us of. Additionally, personal data you submit to us may be verified with the issuer of qualifications or diplomas to which you refer, such as your university degree.

What will The Future Group do with your personal data?

The Future Group will use your personal data for the following purposes and on the following legal bases:

  • Assess your suitability for employment for the position for which you are applying, as well as future relevant positions that may become available.
  • Manage your application.
  • Facilitate communication with you.
  • Perform administrative functions (e.g. reimburse you for interview-related expenses).
  • Your consent shown by sending your application to us after reading this Recruitment and Hiring Privacy Statement
    Perform research and data analytics, including analysis of our applicant pool in order to better understand who is applying to positions at The Future Group and how to attract top talent. Justified on the basis of The Future Group’s legitimate interests of ensuring that it continually improves its recruitment processes.
    Perform any legally-required reporting, and respond to legal process. Compliance with a legal obligation.

    The Future Group will not use your personal data for purposes that are incompatible with the purposes listed in this Privacy Statement, unless it is required or authorized by law, or it is in your own vital interest (e.g. in case of a medical emergency) to do so.

    Who will have access to your personal data?

    In general, personnel´s access to your personal data will be restricted to the few people in The Future Group’s organization who need it for the purposes listed above, mainly with the HR department and hiring manager.

    How long will The Future Group retain my personal data?

    If you are given and accept an offer of employment by The Future Group, personal data collected during your pre-employment period will become part of your The Future Group personnel records, to be retained throughout and for a limited period after your employment with The Future Group. Once an offer of employment is accepted, The Future Group’s legal grounds for processing personal data will be the employment contract with you. More information related to the processing of your personal data as an employee, will be made available to you upon employment.

    If The Future Group does not initially employ you, The Future Group will continue to retain and use personal data collected during the recruitment process in order to consider you for new positions, and, if appropriate, to refer back to an earlier application if you resubmit a résumé or other information to The Future Group, as well as for system administration, to perform research and analysis. All of your personal data will be deleted after 12 months from your last consent.


    Your rights regarding your personal data

    You are entitled to know what personal data The Future Group processes about you. If you request this, you will receive the information in the form of a data extract. You may also require us to correct or delete information we have about you.

    You also have the right to withdraw your consent that we may process your personal information. To do so, please contact the HR-department by using the email address at the end of this Privacy Statement. The withdrawal of consent does not affect the validity of processing based on the consent before it was withdrawn. Upon withdrawal of consent, we will delete the application and the personal data associated with the application from the recruitment system. Withdrawal of consent will therefore also result in not being able to continue your candidacy for the job for which you have applied.

    You may also at any time object to or processing of your personal data based on The Future Group’s legitimate interests on grounds relating to your particular situation. If you wish to object, please do so by using the email address at the end of this Privacy Statement.

    If you believe The Future Group is processing your personal data in breach of mandatory, applicable law, you may at any time send a complaint to the Norwegian data protection authority (Datatilsynet) or your local data protection authority.
